Managing a Successful Business Project

Impact of Artificial Intelligence on HR Function

THEORETICAL APPLICATION

Project Lifecycle Stages and Their Importance (500 words)

The project lifecycle (PLC) is a step-by-step process that helps manage and complete a project effectively. It consists of five key stages: initiation, planning, execution, monitoring and control, and closure. Each stage plays an important role in the success of the project.

Initiation is where the idea is explored. The business identifies a need or problem and decides whether a project is the right way to address it. For example, a company may notice that HR processes are slow and want to explore how AI can improve them. A project charter is created, outlining the basic details.

Planning involves defining goals, timelines, costs, and resources. A well-structured project management plan (PMP) is created here. This phase is crucial because poor planning can lead to delays, overspending, or failure to meet objectives. Planning sets the direction for everything that follows.

Execution is where the actual work happens. In this stage, the project team carries out the plan. In our case, data is collected, research is conducted, and tools like AI are explored for HR.

Monitoring and control happen alongside execution. The manager tracks progress to ensure the project stays on schedule and within budget. If something goes wrong (e.g., a delay in responses), the plan can be adjusted.

Closure is the final stage where the outcomes are reviewed. The project is evaluated to check whether goals were achieved, and lessons learned are recorded. This stage helps improve future projects.

Each of these stages ensures that the project is clear, structured, and manageable, helping to avoid confusion, delays, or wasted resources.

Key Elements of a Project Management Plan (400 words)

When creating a project management plan (PMP), several factors must be considered to ensure the project’s success.

Scope refers to the boundaries of the project. It defines what will and won’t be covered. For this project, the scope is the use of AI in the HR function of a UK-based SME, including recruitment, training, and employee management.

Cost includes estimating all expenses such as software tools, research costs, and staff time. A clear budget prevents overspending and helps secure funding.

Risk assessment is vital to identify potential problems like delays in data collection, unresponsive participants, or technical issues. Planning ahead helps reduce the impact of these risks.

Focus on describing each stage clearly, initiation, planning, execution, monitoring, and closure, and explain how each one contributes to the overall success of a project.

Pick a department where AI could clearly make a difference, such as HR for automating recruitment or marketing for data analysis. Choose an area you can easily research or gather real-world data from.

A short and focused questionnaire works best. Aim for 10–20 responses from middle-level staff. Keep your questions direct and relevant to the impact of AI in that department.

Be honest about what you learned, what challenges you faced, and how your skills improved. Reflect on things like time management, teamwork, or understanding AI in a business context.
